Departure checklist: Things to do before your exchange period. Please remember that you are responsible for the arrangements of your exchange.

Application forms

Fill in the application form of the host university and return it to the host university by the given deadline. Application forms can usually be found on the host university website. Some universities send the link tot the application form by e-mail. While visiting the website of the host university, please check:

  • What is the deadline for returning the application forms?
  • Which forms and attachments are required?
  • When do the semesters start and end at the host university?
  • How to apply for accommodation?

If you cannot find this information on the host university website, please contact the host university international office.

Typical attachments

  • Transcript of records - you can download an electronically signed transcript of records from Sisu. Instructions for downloading the transcript
  • Certificate of registration - you can download an electronically signed certificate of registration from Sisu, Instructions for downloading the certificate of registration
  • Language certificate. If you need a certificate of your English skills, you can get it from Movi after having completed a language proficiency test. Please sign up for the test by the given deadline. Information on the Movi English language proficiency test. If you need a certificate of your proficiency in another language, please contact the relevant teacher at Movi. The Movi language test costs 40 €.

Plan your studies (Learning Agreement)

Make a study plan for your mobility period prior to your departure

  • Learning Agreement (LA)

    Erasmus, FIRST and Nordlys students are required to fill in a so called “Learning Agreement” and have it signed and approved by the home and host department.

    1. Fill in the Learning Agreement form. Erasmus students will receive this form by email but you can also use a similar form offered by your host university. FIRST students can print out the form at the International Office web site (Learning Agreement form). Nordlys students can fill in the form in the Mobility-Online system as a part of your workflow
    2. Have the form signed by the International Coordinator of the sending  faculty / department.
    3. Send your LA to your host university (e.g. together with your application forms or by email) and ask your host university to sign the form as well. You can always make changes in case you need to update your LA.
    4. Your host university should send your LA back to you signed. Erasmus and Nordlys students need to upload it to the Mobility-Online–system. FIRST students are asked to return a copy of the signed form to the International Office.

    Changes to Learning Agreement

    If you are making changes to your Learning Agreement, please ask the International Coordinator of your faculty/department by email to approve the changes. Alternatively you can fill in a separate table in the Learning Agreement form listing all the changes (Changes section for FIRST / Nordlys students, Tables A2 and B2 for Erasmus) and send it scanned to your home and host faculty  / department for signatures.
